Admissions Assistant is a key operational manager of the admissions process. Using the latest technology and most current strategies and best practices in admissions methodology, the Admissions Assistant takes a lead role in the execution of the school’s comprehensive admissions strategy as set forth by the Director of Admissions. The ideal candidate for this position should be prepared to evaluate admissions and enrollment data - locally and regionally - and poised to provide comprehensive reports in a fast-paced environment. Key responsibilities include streamlining all tech-based admission processes, including inquiries, applications, event registration, newsletters, enrollment forms, and the like - while corresponding with prospective families, partnered middle schools, and faculty/staff. The admissions assistant will support the Director of Admissions in managing the enrollment funnel, while developing new ways to creatively engage with prospective students and their families. The ideal candidate is a tech. savvy professional who enjoys data-driven results and has a passion for customer service through effective communication. The ideal candidate is poised to operate within a high-paced environment with an admissions team who has worked collectively to increase enrollment at Holy Cross Preparatory Academy over 25%.
Essential Functions:
• Primary responsibility for the complete management of the online admissions database from inquiry to enrollment and the management of dynamic admissions events.
• Manages the admissions tab of the website to ensure effective communication and updated information.
• Provides comprehensive weekly reports to the Director of Admissions and the school President.
• Executes the annual cycle of admissions events and activities.
• Lead coordinator and point of contact for the scheduling of school tours and the Lancer for a Day Program.
• Lead coordinator and point of contact for prospective student programs.
• Engages with and guides prospective families through our enrollment funnel - from inquiry through enrollment.
• Assists in the development and management of new admissions events and existing admissions events such as, Open House, High School Placement Test (HSPT), Scholarship Reception, Nights at the Cross, Enrolled Student Night; Coordinates efforts with other senior staff members for events and additional onboarding events.
• Assists the Director of Admissions in creating and managing exciting outreach programs for student groups at elementary schools, educational fairs, religious education classes, middle school events, community sports, etc.
• Schedules middle school visits for the Director of Admissions and is prepared to serve as an admissions representative during visits, in addition to, high school fairs, community events, etc.
• Responsible for keeping up-to-date records of all inventories. I.e., admissions supply, event materials, prospective student t-shirts, spirit gear, etc.
• Improves communications with prospective students and families.
• Posts weekly admissions content to the school's social media platforms regarding important dates, upcoming events, fun facts, and additional statistics that help educate prospective families.
• Responsible for coordinating a weekly newsletter.
• Collaborates and assists with the overall marketing of the school including the development of engaging content for press releases, social media posts, etc.
• Assists with the selection and training of Lancer Ambassadors (current students).
• Designs and executes exciting acceptance notices for admitted students.
• Becomes the ever-present advocate for Holy Cross Preparatory Academy in the community.
• Fulfills other duties and responsibilities as assigned by the Director of Admissions.
Qualifications:
• Bachelor’s degree in business administration, education, nonprofit management, marketing/communications, information systems, and/or additional related field.
• Significant experience with data collection, evaluation, and statistical analysis.
• Significant database management experience and tech-savvy.
• Significant experience in sales and marketing.
• Experience in event management.
• Excellent interpersonal communication skills.
• Experience within a secondary school or university, nonprofit organization, or additional Mission-driven entity.
Special Demands:
• Must be available for evening and weekend work as necessary.
• Experience working with FACTS Management - or a similar admissions-related database is preferred.
