Athletics Administrative Assistant – La Salle College High School

 

La Salle College High School seeks a part-time administrative assistant (paid hourly) in the athletics department for the 2024-2025 school year. The candidate would report directly to the Athletic Administrator and would be responsible for a variety of assigned tasks relating to athletics, athletic facilities, and scheduling.

 

Candidates must possess:

 

·      Associate’s degree: Bachelor’s degree preferred.

·      Effective communication skills in collaborating with administrators.

·      Microsoft Office 2016 proficiency, particularly with Microsoft Excel.

·      Strong interpersonal, oral, and written communication skills.

·      The ability to manage multiple tasks and change priorities in a deadline-sensitive environment.

·      The ability to learn and apply internal policies and procedures to ensure operational compliance and reliable judgment.

·      Flexible availability to work part-time with a combination of in-office and at-home work.

 

Responsibilities will include but are not limited to all necessary tasks assigned weekly by the Athletic Administrator:

·      Enter all practice and game schedules on the La Salle facilities calendar.

·      Confirm all game schedules are posted on the school website for each season (fall, winter, spring).

·      Enter all rosters on the school website and the PIAA website for each season (fall, winter, spring).

·      Confirm all home and away contest dates with opposing teams.

·      Inventory and sort coaches' gear.

·      Inventory and sort team pins, letters, and All-Catholic Certificates.

·      Print and post Emergency Action Plans for all athletic fields and facilities.

·      Manage all outside facility requests related to athletics and consult with the Athletic Administrator on these possible events.

·      Send out facility agreements and paperwork to those entities renting or using our facilities.

·      Collect and file all COI’s from outside organizations using our athletic facilities.

·      Collaborate with booster group parents to secure seasonal needs for on-campus events (team meals, banquets, etc.)

·      Send supplemental contracts to opposing Athletic Directors for all varsity contests with non-PIAA schools.

·      Coordinate with intramural moderators to ensure facility needs are entered on the La Salle facilities calendar.

·      Generate the monthly proximate review from the athletics calendar.

·      Enter all Physical Education grades based on sports and intramural participation.

Physical Requirements and Work Environment

·      Work performed in a traditional climate-controlled office environment with occasional exposure to adverse environmental conditions such as: extreme temperatures, wetness, humidity, dirt, dust, fumes, smoke, odors, and/or loud noises.

·      Moderate physical activity; ability to be mobile and lift up to 25-lbs a distance of 25-feet; regularly sit, talk, and hear; use close and distance vision; work at a desk and computer screen for extended periods of time.
