OPERATIONS SERVICES COORDINATOR


The Position

The Operations Services Coordinator will serve as the customer service contact for as well as the office administrator for the department of Facilities and Operations. This position will also support the Excel team and will perform customer service as well as back office support functions for all Excel programs.


What You’ll Do

  • Supports the Director of Facilities, Manager of Operations, Superintendent of Grounds, Manager of Maintenance, Chief Operating Officer, Director of Excel Programming and the Assistant Director for Excel Sports Programming
  • Receive and process incoming and outgoing mail.
  • Sort mail and parcels.
  • Oversees the School Dude Ticket system and coordinates work orders with supervisors.
  • As needed as a backup to the school’s receptionist.  
  • Meets with various departments to coordinate the school wide calendar to ensure it remains active and up to date.
  • Coordinate credit card reconciliation and invoice reconciliation.
  • Assist employees in the process of Signing-In/Out School vehicles. 
  • Monitor and maintain Excel program registration
  • Update Excel program descriptions
  • Update Excel program weekly rosters
  • Manage transfer/withdrawal for all Excel programs
  • Assist in daily logistical operations during Summer Program season
  • All other duties as assigned.


About You-The Ideal Candidate Will

  • Possess a friendly outgoing customer service focused demeanor.
  • Skilled in Microsoft Office (Outlook, Word, Excel) as well as Google Workspace (Gmail, Sheets, Docs Slides)
  • Possess ability to monitor and post on social media platforms (Instagram, X)
  • Skilled in managing teleconferencing technology (Zoom, Google Meet, Microsoft Teams)
  • Possess copier understanding (collating, duplex, stapling, scanning, faxing).
  • Possess basic bookkeeping skills
  • Possess a willingness to jump in and do whatever is needed.
  • Must be flexible in both thinking and doing.
  • Highly organized.
  • Must be able to multitask.
  • Must be able to maintain confidentiality.
