We seek a highly organized and detail-oriented Administrative Assistant to support the Enrollment and Advancement teams and help ensure the smooth, effective operation of the office.
The Administrative Assistant for Enrollment and Advancement is a highly visible position working closely with colleagues across Admission, Development, Marketing & Communications, Parent & Alumni Engagement, and Events. You'll help create exceptional experiences for prospective families, donors, alumni, and the broader school community. This role requires strong communication, organizational, and problem-solving skills This is a full-time, 12-month position. Typical weekday schedule is 7:30 a.m. to 4:00 p.m., with occasional flexibility. Occasional evening and weekend event responsibilities.
Office Administration: Perform general clerical tasks, including but not limited to phone and email communications, managing mail, email and calendars, maintaining files, and preparing documents such as reports and spreadsheets.
Administrative & Event Support: Provide comprehensive administrative and logistical support to the Admission and Institutional Advancement teams by coordinating meetings, maintaining calendars, preparing materials, ordering office supplies, and assisting with day-to-day operations. Support the planning and execution of admission and advancement events, including event logistics, volunteer coordination, and on-campus event support as needed.
Data Management: Demonstrate proficiency in Google Workspace (Docs, Sheets, Forms, etc.) and a willingness/ability to learn new platforms. Experience with Finalsite Enrollment is a plus.
Visitor Coordination: Create a warm, welcoming experience for prospective families, alumni, volunteers, donors, and other visitors, reflecting the school's values of community and hospitality. .
Prior administrative experience, preferably in an educational setting.
Strong organizational, time-management, and multitasking skills, including experience managing multiple calendars and competing priorities.
Comfort learning and using new software; demonstrated proficiency with Google Workspace (Docs, Sheets, Forms, etc.) and familiarity with Microsoft Office. Experience with CRM/database systems and data entry best practices is preferred.
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion and accuracy.
Friendly, professional, collaborative, and service-oriented approach to work.
Physical Requirements and Work Environment
Regularly sit, talk, hear and visually engage with visitors
Occasionally lift and be able to carry up to 30 pounds.

Work at a desk and on a computer for extended periods of time
Turn, bend, reach and occasionally use a step ladder
Work in a traditional climate controlled office environment with occasional need to assist with outdoor events that may be exposed to adverse weather conditions.
